A. Client Information (MEP Firms & Hiring Managers)
To manage your account, process payments, and deliver test results, we collect:

Account Data: Name, business email address, company name, phone number, and account password (stored securely via encryption).

Billing & Financial Data: Payment card details and billing addresses. All payments are processed securely through our third-party payment processor, Stripe. We do not store your raw credit card information on our servers.

Usage Data: Information about how you use our Client Portal, including the number of assessments purchased and administered.
B. Candidate Information (Job Applicants taking evaluations)
To facilitate technical testing on behalf of our clients, we collect:

Identity Data: Name and email address (provided by the hiring firm and/or entered by the candidate to start the test).

Assessment Data: Test answers, scores, completion times, and technical competency breakdowns.

Security & Proctoring Data: To protect test integrity and prevent cheating, we may collect browser metadata, IP addresses, and tracking logs (such as whether a user switches tabs or leaves the test window).
2. How We Use Your Information
We use the collected information for the following business purposes:

To Deliver the Service: Setting up client accounts, processing subscription payments, generating secure test links, and delivering candidate results to your company via email.

To Maintain Test Integrity: Monitoring candidate behavior during proctored exams to flag potential cheating or unauthorized assistance.

To Improve Our Assessments: Analyzing aggregated, anonymized test metrics to refine our HVAC/MEP question database.

To Communicate With You: Sending transactional emails (payment receipts, account notifications, and test completion alerts) and responding to customer support inquiries.

We do not sell, rent, or trade any of your information to third parties. We only share information with trusted third-party service providers who assist us in operating our platform:

Testing Engines (FlexiQuiz): Candidate names, emails, and test responses are securely processed by our online testing partner to run the assessments.

Payment Gateways (Stripe): Billing details are sent directly to Stripe to process subscriptions and token purchases.

Legal Requirements: We may disclose information if required to do so by law, court order, or to protect the safety, rights, or property of our users or the public.
4. Data Security
We implement industry-standard security measures to maintain the safety of your personal information. Client portal access is password-protected and restricted. All transactional and assessment data transferred to and from our site is encrypted via Secure Socket Layer (SSL/TLS) technology.
While we take commercial steps to secure your data, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
5. Data Retention

Client Data: We retain your account and billing history for as long as your subscription is active, or as required by law to meet financial tax obligations.

Candidate Data: Because candidate assessment records are the property of the hiring firm, we store candidate test scores and performance metadata indefinitely to allow hiring managers to review past applicants, after which it may be permanently deleted or anonymized.
6. Your Rights & Choices
Depending on your location (such as California under the CCPA/CPRA, or Europe under the GDPR), you may have the following rights regarding your personal data:

Access: The right to request copies of the personal data we hold about you.

Correction: The right to request that we correct any inaccurate information.

Note: Because candidate testing is initiated and managed by our business clients (the hiring firms), candidates wishing to access, correct, or delete their test results should contact the hiring firm directly, as we act as a data processor on their behalf.
